Ask Flex / Automating repetitive tasks
How do you use AI to write a memo?
Yes, any chat AI can draft a memo in about a minute if you give it the four facts: who it's for, what changed, what you need them to do, and by when. You read it once, fix the one line that sounds wrong, and send it.
Four facts in. Memo out.
Say who it's for
"Everyone on the front desk." The tone follows.
Give it the one change
What's different, starting when.
Say what they should do
"Use the new form from Monday." One ask.
Ask for short
"Under 150 words." Nobody reads a long memo.
Write a short memo to [who it's for]. What changed: [the change]. What I need them to do: [the one thing], by [date]. Keep it under 150 words, plain words, friendly but clear. Put To, From, Date and Subject at the top and leave my name and the date in brackets for me to fill in.
Before you paste work stuff into any AI, check what your company allows. If a memo like this goes out every week, that's work that keeps coming back. The free Lab shows you how to hand that work to Claude.

What's the best AI to write a memo?
The one you already have. The free versions of Claude and ChatGPT both do a memo well if you give them the four facts.
Can AI write a memo for me from scratch?
It can draft one from your four facts. The facts still come from you, and so does the last read.
How do I write a good memo without AI?
To, From, Date, Subject at the top, then what changed and what to do about it. Flex has a page on it.
